Analysis of Communication Methods
Question: Discuss about the Analysis of Communication Methods. Answer: There are various types of Internal and External communication methods that are used by the employees while working in the workplace. According to the researcher, after conducting interviews of two managers from different organizations they have similar communication methods that are used by both of them in the work place they are as follows: Email: One of the most common and versatile mode of communication is the electronic mail or email services that is widely used by the manager to conduct various workplace formal and informal interactions. There are many advantages of email such as it can be send as a plane text email, a video email, a visual/graphical email, etc. According to the researcher, both the managers have also illustrated disadvantages of email also as if an average employee gets thousands of emails per day and deletes more than half of them. Moreover, the employees are always needs to be asked to check the emails while making any communication in the workplace.[1] Intranet: Intranet is one of the most modern methods of interaction within the workplace and it is use on all the modern workplaces. Depending on the platform and technology that the organization is using Intranet facilities it is one of the versatile medium. Moreover, unlike emails, anything that goes out in the intranet is always there to stay and it can be accessible to the managers convenience. Intranet also has several disadvantages like a poorly designed intranet will be a nightmare for the organization and it will not be used by the employees of the organization due to it will delete important files, server errors will delay the work and the overall production of the company will go down.[2] Newsletters/Magazines: Beside the electronic medium, employees are very much fond of newsletters and magazines as they create and engage a good communication channel if they are used properly. The main advantages of this method of interactions are that it provides credibility and readership among the workforce and managers are provided an opportunity to display their talents. One of the disadvantages of this method is that it is a very time consuming method of communication as compare to email and intranet facilities. [3] Team Meetings: According to the researcher, both the managers have put much focus on this method of communication as they think it is very much important to have team meetings. The managers feel that a message is best communicated if it is done on small confined meetings. The advantage of this type of communication is that it takes place confidentially with different individuals under the same time and it helps in taking decisions faster. The disadvantages associated with this method are that often-controversial topics are discussed in the team meetings that arises conflicts between team members accordingly. [4] The external communications are all the communication that takes place outside the organization they are as follows: Communication with Channels: Often the organization and the managers interact about their company offerings to customers that are external to the organization. This type of communication is basically done with the help of direct marketing channels, distributors and business partners. The advantage of this method is that it enables sales and delivery of goods and services in a way that it is profitable for each party. The disadvantage associated is that if the communication is not made clearly there is a huge chance of losing valuable customers and business partners.[5] Communication about the Price: It is one of the most important methods of external communication that are used by the managers and the organization to highlight their prices to the customers, retailers and stakeholders. It is done by using print media advertisements on television, radio and the internet. It has advantages as if a company uses strategy like by one gets one free to attract large number of customers towards them. The disadvantages are that often customers are bored and tired of hearing and seeing the same advertisement repeatedly. The success of this method is always based on how well the communication is been delivered with a strong advertisement. [6] According to the researcher, both the managers can improve their communication strategies like through various ways such as giving undivided attention to their respective employees and focusing on each individual thoughts and emotions separately. Better communication can also be implemented if they take more amount of time listening while communicating with each other and lastly inform and inspire the employees while communication that will create motivation towards them in clarifying their thoughts and ideas respectively.
